Office Manager (Part time)

Reporting to the People and Operations Director, the part-time Office Manager will serve as the front desk receptionist, manage the office/facilities, incoming and outgoing mail, office supply inventory and provide support to HR and IT as needed. 

This position will require close collaboration with the People & Operations Director (POD), the Vice President of Finance and Administration, and staff across all departments to ensure each employee is supported with the administrative, technical, and the organizational resources they need to succeed at NIRH/ NIRH AF. The Office Manager will be an important part of the organization’s racial equity work and will contribute proactively to a positive, high functioning workplace culture. 

WHAT YOU’LL DO 

Facilities Management 

  • Procure, maintain, and organize all office supplies and technology to meet the work demands of staff. 
  • Be the main point of contact for office vendors, tech consultants, and building maintenance. 
  • Troubleshoot office tech issues; coordinate additional IT support when needed. 
  • Maintain the office space in an organized, accessible system. 
  • Manage building security cards for all staff. 

Office Administration 

  • Schedule and manage the organization’s monthly staff meeting, collaborating with the Executive Vice President to compile the agenda, manage any technical needs, and note-taking/distribution 
  • Assist staff with administrative work as needed, including mass mailings, setting up conference systems and skype calls, photocopying and internet research tasks. 
  • Coordinate brown bags, informational interviews, and workshops with both internal staff and external organizations for interns and employees. 
  • Contribute proactively to a positive, high functioning workplace culture. 

Reception 

  • Manage the front desk and reception area; sign for deliveries; greet visitors and alert staff when guests arrive. 
  • Oversee all office security including monitoring/updating security list for the day, manage office cameras, lock/unlock the office doors for guests, and communicating with building security as needed. 
  • Log and distribute mail and faxes; work with the Development Assistant to complete a Daily Incoming Contribution Log. 
  • Answer the main NIRH/NIRHAF phone line, respond to routine inquiries, and directs calls to the appropriate department or staff as necessary 
  • Monitor the organizational voicemail inbox and email inbox. 

Human Resources 

  • As needed, provide support to the POD. Tasks may include but are not limited to assisting with onboarding new employees, job postings, setting up workstations and ensuring employees have the technology to work remotely. 
  • Contribute to building and managing a culture of inclusion and equity at an increasingly diverse organization. 

WHAT YOU’LL BRING 

  • 1-2 years of experience in an office setting. 
  • Demonstrated ability to prioritize and handle a variety of projects simultaneously. 
  • Comfortable engaging with a variety of people and personalities within and outside of the organization. 
  • The ability to maintain a calm demeanor when under pressure and when faced with changing circumstances. 
  • Basic understanding of office technology and comfort troubleshooting when needed. 
  • The ability to take initiative and anticipate needs within the office. 

SALARY AND SCHEDULE

  • $25.00 an hour
  • Working 21-28 hours per week, 3-4 days a week
  • Business hours are Monday to Friday, 10 AM and 6 PM.
